About this seal

When an office digitises paper, the SCANNED stamp marks each original as captured — so it is not scanned again, and so staff know the electronic copy is the one to use. Many teams add the scan date and the initials of whoever checked the image.

Common uses

  • Back-office digitisation of invoices and receipts
  • Mailroom scanning into a document management system
  • HR and patient files moved to electronic records
  • Marking originals before archiving or shredding

How to create it

  1. Open the template — the blue rectangular box stamp reading “SCANNED” is pre-applied.
  2. Edit the fill-in lines under the word, or type the date, initials or reference before exporting.
  3. Change the colour if your office uses a different convention — blue is the usual choice for this stamp.
  4. Download a transparent PNG (or SVG with Pro).
  5. Place it on a PDF or Word file with the document stamp tools, or print it on labels.

Frequently asked questions

Should the stamp go on the paper or the scan?

On the paper original, before scanning, so the digital copy also shows it was processed.

Can I use it on a PDF?

Yes — download a transparent PNG and place it with the PDF stamp tool if your workflow marks electronic copies instead.

Legal & usage

An office stamp is a status marking, not a signature, certification or official classification. Use it on documents you are entitled to annotate, and do not use it to misrepresent a document's status to others.
