About this seal

A FAXED stamp records that a paper document has already been transmitted, so nobody sends it twice and the file shows when it went out. Medical offices, law firms and logistics desks — where fax is still in daily use — typically stamp it with the date and the sender's initials.

Common uses

  • Medical records and prescriptions sent by fax
  • Signed forms returned to insurers or courts
  • Purchase orders sent to suppliers
  • Proof of transmission in a paper file

How to create it

  1. Open the template — the blue rectangular box stamp reading “FAXED” is pre-applied.
  2. Edit the fill-in lines under the word, or type the date, initials or reference before exporting.
  3. Change the colour if your office uses a different convention — blue is the usual choice for this stamp.
  4. Download a transparent PNG (or SVG with Pro).
  5. Place it on a PDF or Word file with the document stamp tools, or print it on labels.

Frequently asked questions

Why stamp a document after faxing it?

It prevents duplicate sends and gives the file an audit trail: date, sender, sometimes the destination number.

Can I print the date automatically?

Yes. The editor has an automatic date option that prints the current date on each export instead of a blank line.

Legal & usage

An office stamp is a status marking, not a signature, certification or official classification. Use it on documents you are entitled to annotate, and do not use it to misrepresent a document's status to others.
