About this seal

CANCELLED marks an order, invoice, cheque or form that has been withdrawn, so it is not processed by mistake. Unlike destroying the paper, stamping keeps the document in the file with a clear status — which auditors generally prefer to missing numbers.

Common uses

  • Withdrawn purchase orders
  • Invoices cancelled and replaced by a credit note
  • Superseded forms and applications
  • Cheques and vouchers not to be used

How to create it

  1. Open the template — the red rectangular box stamp reading “CANCELLED” is pre-applied.
  2. Edit the fill-in lines under the word, or type the date, initials or reference before exporting.
  3. Change the colour if your office uses a different convention — red is the usual choice for this stamp.
  4. Download a transparent PNG (or SVG with Pro).
  5. Place it on a PDF or Word file with the document stamp tools, or print it on labels.

Frequently asked questions

CANCELLED or VOID?

Both remove a document from use. VOID is traditional for cheques and receipts; CANCELLED for orders, bookings and appointments.

Should I keep cancelled documents?

Usually yes — a stamped, retained document explains the gap in a number sequence far better than a missing page.

Legal & usage

An office stamp is a status marking, not a signature, certification or official classification. Use it on documents you are entitled to annotate, and do not use it to misrepresent a document's status to others.
